How to reduce no-shows with WhatsApp appointment reminders

Missed appointments cost businesses time and revenue, and they lengthen waiting lists for other customers. Reminders that customers actually see and can respond to are one of the simplest ways to reduce them.

Send reminders where customers will see them

WhatsApp messages arrive in an app customers open many times a day, which makes them a natural channel for reminders, as long as customers have opted in to receive them.

Get the timing right

  • Confirmation: immediately after booking, with date, time and location.
  • Reminder: around 24 hours before, so there is time to reschedule.
  • Optional nudge: a few hours before, for same-day appointments.

Make it two-way

Add Confirm and Reschedule buttons. A confirmation gives you certainty; a reschedule request lets you offer the slot to someone else. Both are better than a silent no-show.

Keep the message useful

  • Include the date, time, location and who the appointment is with.
  • Add preparation notes, such as documents to bring.
  • Link to directions or parking information.
  • Avoid sensitive personal details in the message itself.

Close the loop

After the appointment, send a short thank-you and feedback request, and offer to book the next visit when relevant.
